Customer Experience & Marketing Assistant

Full-time | Remote within Ontario (occasional in-person meetings may be required)

The Hanen Centre is a registered Canadian non-profit dedicated to helping young children develop strong language and literacy skills. We support speech-language professionals, educators, and families worldwide through evidence-based programs and resources. 

We’re looking for a motivated and detail-oriented Customer Experience & Marketing Assistant to join our Marketing & Communications team. This entry-level role is ideal for someone who thrives at the intersection of service and strategy, combining strong communication skills with hands-on support for campaigns, sales operations, and member engagement.

Key Responsibilities

Customer Service & Sales Support 
  • Respond to customer inquiries via phone and email regarding product information, availability, delivery, returns, and general administrative issues.
  • Liaise with the shipping department to confirm packaging and delivery logistics.
  • Generate quotes, invoices, and receipts, and update contact records to support the Sales Team.
  • Assist with customer communication during membership renewal periods.
  • Conduct QA of external-facing content (e.g., web pages, email copy).
  • Help maintain membership records and organize testimonials.
  • Support workshop delivery by testing participant functionality within Hanen’s back-end systems.
Marketing & Administrative Support 
  • Assist with the preparation and scheduling of promotional email campaigns.
  • Create and manage audience lists and discount codes in CRM and CMS platforms.
  • Pull campaign and member events performance stats (e.g., open rates, code usage) to inform strategy and aid in data maintenance.
  • Participate in team meetings and provide insight into external stakeholder experience.
  • Conduct marketing and customer research to support campaign development, and other duties as assigned.
  • Perform QA for marketing workflows and workshop promotions.
  • Create and manage surveys in SurveyMonkey for internal teams across departments.


What You Bring

Required 
  • Bachelor’s degree
  • Excellent attention to detail and organizational skills
  • Strong communication and interpersonal abilities
  • Proven customer service mindset and professionalism
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Ability to manage multiple tasks and deadlines with confidence
Nice to Have 
  • Experience working with CRM platforms (e.g., Microsoft Dynamics, Salesforce)
  • Familiarity with database systems and contact segmentation
  • Comfort using tools like SurveyMonkey or email marketing software
  • Interest in marketing, nonprofit communications, or client success
